Hiring me
I’d love to get to know you and talk about what you need and how I can help you! You can contact me easily through the form on my contact page, and we can talk. It helps make sure that we are a good fit for each other and to clear up any questions either of us may have before any money is spent. Once we know we’re a good match, I will give you a quote for your project, and bill you through Paypal. Then we’ll get started!
For new clients, I may require 7 business days of notice before I am able to begin your project. The time may be shorter or longer, depending on how full my schedule is at the time. But I promise I will always let you know upfront what my schedule may be like so you can be aware and make a decision that best fits your timeline as well. When you buy hours, it’ll secure you the next opening in my schedule if I am booked. But often, I can start work right away and will let you know exactly what to expect and when I will start.
Payments and Refunds
I require that all hours and packages be purchased upfront. This will help you keep track of how much money you are spending on various projects, and it eliminates the need for me to track down missing payments and clients at the end of each month. That means I don’t have to charge any late fees or terminate any contracts midway and will makes us both a whole lot happier!
I only accept payments via Paypal at this time. Paypal offers a secure environment for both of us to make and receive payments. You can use a debit or visa card so you don’t have to join PayPal in order to purchase hours.
Because of the nature of this kind of work, there are no refunds. My goal is to make you more than satisfied with my work. I’ve never had anyone ask me for a refund, and plan to keep it that way!
What is considered Billable
I use a time tracking program to keep a record of how many hours a client has purchased and a tally of the time I have used for each project. Every job that I do for you or your projects is billable towards the hours that you purchased upfront. Scheduled voice calls, an email that needs a lengthy response, research on products or services, as well as any work I do on your behalf is all considered billable and comes out of the hours you purchase.
You will not be billed for the initial emails back and forth introducing yourself and discussing your needs!
Communication
I like to keep my communication with clients to email, if at all possible. With the large variety of time zones I work with and schedule needs, email is the most efficient method of keeping in touch and keeps a good record of what we discuss to refer to later. If you need to schedule a voice call, you can contact me and we can try to work something out.
Turnaround Time
My goal is to return all emails within 48 business hours. This does not include weekends and holidays. The time it takes to complete projects and tasks varies on what all is involved, but I will always try to tell you, based on my current schedule, when you can expect your project to be completed if at all possible.
All emergency, last-minute projects & tasks will be accepted on a case-by-case basis only. It will depend on my availability and extra charges may apply for rush jobs. I reserve the right to not accept a last-minute emergency task for any reason. Please contact me with specifics before purchasing hours for last-minute or emergency tasks!
Tracking Time and Timesheets
I track my time for every client and task using a program called klok. You may request a timesheet at the end of each package of hours if you would like to see one.
Hour Expiration
Every time you purchase a package of hours, those hours will remain valid for one year from the date of purchase.
Running out of hours or Hours that Expire
When the hours you purchased have been nearly used up, I will send you an email letting you know that you have almost run out of purchased time. You will then be able to decide if you’d like to buy more hours (I’ll send you a link to purchase more so you can find it easily) or whether you’d like to part ways for now. (I’ll finish up the hours you’ve purchased and we can part on good terms!)
It is my policy to send out three email notices when your hours are nearing their expiration date. If your hours expire because they haven’t been used within a year, unfortunately, you will need to repurchase hours if you have another project you would like me to work on.
Ending Our Relationship
You are free to end our working relationship at any time, for any reason! However, I request respectfully that you give me 1 month’s notice of any changes in staff or projects that will terminate our contract. This enables us to create an exit plan that makes the transition as smooth as possible for both of us, and for me to finish up any hours I have remaining, as well as pass on anything I have completed for you.
If I need to end our working relationship, I will let you know by email. I will always finish up the hours you’ve already paid for and will try to refer you to another Virtual Assistant or Social Media Manager if at all possible.
